Five stages, five places your agency loses productivity.

An agency doesn't make what it sells: it finds, arranges and sells on behalf of its clients. So it lives on its deals, and every deal is won or lost in five stages. You have to answer fast, follow through, keep your margin, get paid on time and bring the client back. Each stage has its leak, and its assistant. Nora measures it all, every Friday.

  1. The request: Win the deal

Proposal and revision requests scattered across email, texts and three tools. The new request is found five days later.

Caught by Noah, The front desk.

  2. The follow-through: See it through

The kickoff meeting moved twice, and the freelancer who never heard the delivery date had changed.

    Caught by Ava, The calendar.

  3. The margin: Keep what it earns

Fourteen software subscriptions, including three seats for designers who left over the summer.

Caught by Mila, Money going out.

  4. The payment: Get paid for everything, on time

A 60-hour package that ran 24 hours over with no change order, and the September invoice never chased.

Caught by Jules, Money coming in.

  5. Repeat business: Bring the client back

The client whose site shipped in the spring. Nobody pitched the next step, and their fall campaign went elsewhere.

    Caught by Leo, New business.

A free audit of your agency's productivity, stage by stage.

Nora puts it together from a 30-minute call, plus an export if you have one. No access to your inbox. She counts the margin at risk, amount by amount, and the hours lost each week, task by task. And if nothing is worth chasing, we tell you.

Example: Leak report · Example Studio Inc.. Margin at risk: $47,380. Time lost every week: 11 h.

Six AI assistants. Each one takes over a leak.

Each one has a face, a name and a single job, with no overlap. They are AI assistants: they read, draft and follow through, and you decide. They always introduce themselves as assistants, never as people.

  • Noah, The front desk

Everything coming in: calls, emails, web forms, client and candidate requests.

He answers within minutes, says he's an assistant, sorts what comes in (new client, current client, candidate, supplier, spam) and hands each request to the right teammate with a one-line summary.

No more requests going to another agency because nobody answered, and an inbox that's sorted.

  • Leo, New business

New clients and orders, from request to signature, plus renewals.

He follows up with every pending client until there's an answer, from your address, wakes up past clients at the right moment (contract ending, need coming back) and spots public tenders in your field.

Deals that stop going to competitors for lack of follow-up.

  • Ava, The calendar

Appointments, shifts, showings, meetings and team deadlines.

She books appointments, shifts and meetings into the calendar, lets your team, workers, freelancers and clients know, and confirms everything the day before.

Weeks that hold together, and nobody showing up for nothing.

  • Jules, Money coming in

Billable hours, overruns, costs to bill back, invoices and late payments.

He cross-checks timesheets, projects and invoices, flags every hour worked and never billed, drafts change orders and polite reminders for late payments, after checking they aren't already paid.

Every hour you sell gets paid, without you playing debt collector.

  • Mila, Money going out

Subscriptions, seats, freelancers, suppliers and ads.

She files receipts and invoices, spots duplicate subscriptions, unused seats, forgotten ads and price increases, and keeps everything ready for your accountant.

Fixed costs that shrink, and a month-end with no shoebox.

  • Nora, The numbers

She measures. She never contacts anyone.

At the start, she puts numbers on what's slipping away from the call and an export, if you have one. After that, she prepares team and client reports, and every Friday she counts the hours and deals won back.

The share of your hours actually billed, every Friday, in numbers you can recount.

The faces are illustrations. Behind the crew, a named, bilingual person looks after your account.

New technology, inside the tools you already have.

The crew works inside the tools your agency already uses, QuickBooks, HubSpot, Google Calendar, Outlook, your payroll, project or CRM software, or a plain spreadsheet, and sends from your own email. No new software to learn. You, or whoever runs the office, decide.

  • Standard messages go out on their own

Request received, shift or showing confirmation, renewal notice: you approve the template once. Then they go out on their own and say they are automated.

  • One-off messages wait for your YES

A client follow-up, a reply to a request, a change order: the assistant drafts it, you reply YES, EDIT or NO by text.

  • Some things never go out

A price, a discount, a reply to an upset client. No text to anyone without consent. And nothing pretends to be you or a person.

Every Friday, the hours and deals won back.

A few lines on your phone: what was answered, followed up, signed and billed, and the time given back to your team, against your starting report. The time it took you comes last, with how we count it.

Start with one assistant, on a 30-day trial.

  1. The free audit

You book, we talk for 30 minutes, and you get your audit within 48 hours, in hours and in dollars. An export helps but isn't required. If nothing is worth chasing, we tell you.

  2. Your first assistant

We start with the one that gives your agency the most margin back, set up in your tools and tested with you. Others are added when the numbers justify it.

  3. You judge for 30 days

We agree in writing, upfront, on the number that counts. If you don't keep it, you pay nothing and we remove everything.

Questions agencies ask about AI.

Why does Aveira only work with agencies?

Because every agency does the same core job: it acts for a client in front of a market, and lives on its deals. Whether it places staff, sells homes, ships websites or books trips, it loses productivity at the same five stages: the request, the follow-through, the margin, the payment and the repeat business. The crew was built for exactly those stages.

What kinds of agencies do you work with?

Staffing and temp agencies, real estate agencies and broker teams, web, marketing and communications agencies, design studios, travel, event, talent and translation agencies, and insurance brokers. In Québec, across Canada and in the U.S., in English and French.

We're not a tech team. Is this for us?

Yes, that's exactly why we exist. You have nothing to install or learn: the AI works inside your email, your calendar and your current software, and you reply YES, EDIT or NO by text. We handle the technology, you keep the relationship with your clients.

My software already does this.

Partly, and we check during the audit. Your invoicing, payroll or CRM software already does some of it: if that's all you need, we tell you and turn it on for free. What they don't see is what happens between them: the unanswered request, the hour worked that never got carried over, the client nobody followed up with.

My agency is small, and a bit disorganized.

That's a good place to start. The audit is a call, with no export required. Then the crew takes over request sorting, schedules and reports in the tools you already have, even if that's Outlook and three spreadsheets. We don't ask you to get organized first.

I don't have time to approve, I'm always in meetings.

You approve each template once. After that, the crew only texts you the one-offs, and you reply YES, EDIT or NO. Whoever runs the office can approve for you. The report shows how much time it really took.

Are you going to read all my email?

No. The audit is done from a call and, if you have one, an export, with no access to your inbox. After that, each assistant only gets access to what its job needs, in line with Québec's Law 25 and Canadian and state privacy laws. Your exports are deleted at the end.

Leo, Nora, Ava… are they real employees?

No, they are AI assistants with a face and a name so it's easy to keep track. They always introduce themselves as assistants. Behind them, a named, bilingual person looks after your account and answers your questions.

Do I have to take all six?

No. We start with one, the one that gives your agency the most margin back according to the audit. Others are added one at a time, if the numbers justify it.

Will you write to my clients or candidates?

Email first, from your own address. Texts only go to people who have consented, and anyone can reply STOP. Nothing pretends to be you.

You don't have references.

True, we're just starting. That's why we start from your own numbers and you judge for 30 days on your results. We don't publish any figure we haven't measured.
